Space Manager includes many additional features to aid in the running of each site and a storage company as a whole.

 

Managing Your Reporting

 

Space Manager’s reports are not ‘hard coded’ into the program but can be added amended or deleted as required.

 

Whilst Space Manager is supplied with a complete list of Site Status and Accounting Reports, the inbuilt Report Builder system allows users to modify existing reports or add new ones as they become required.

 

This screen shot shows the Space Manager Report Builder interface. It is accessed from the ‘Support’ Menu option and the above image shows the ‘Design’ tab where the report layout is determined. The ‘Parameters’ tab allows for information, which must be provided by the user at reporting time, to be defined. ‘SQL’ defines the SQL which actually queries Space Manager’s data base and ‘Preview’ allows the designer to see how their report looks when populated with data. Once complete, reports are saved as RTM files and can be added to any of Space Manager’s report menus.

 

The combination of SQL and this extremely powerful report builder provides an exceptional reporting tool and it is used both for reporting within Space Manager and document production (the printing or Invoices, Contracts etc.).

 

All Space Manager reports are stored as an RTM File. This is a text file that represents the recipe for the report. As it is text, it can be easily transferred from site to site by email or disc.

 

Once a report is written, adding it to the system is a simple matter of deciding where the report should be available from and adding it to the menu options presented to the user.

 

This screen shot shows the selection of the Miscellaneous Reports Menu option from the Reports Menu. New reports can easily be added, after being designed, by selecting the ‘New’ Button.

 

This is done by selecting ‘New’ and locating the report RTM file on the PC or Network.

 


Once a report has been selected, it can have a wide range of destinations including printing, faxing or saving to file in Excel format, to name a few.

 

Once a user has selected to print a report to the screen, they can then choose to print the report to a printer or to one of many different file formats simply by selecting the print icon in the top left hand corner of the report and then selecting the appropriate report destination.

 

As mentioned, the report builder system is also used to generate document templates such as invoices etc..

 

This screen shot shows the ‘Design’ tab of Space Manager’s Report Builder. All document templates are defined using this system and users can easily check how their document templates look before saving the final version. This above screen shows a sample invoice layout.
