No. 13: Does your software allow payments to be matched to invoices?
YES.
All payments are matched to invoices, either
automatically by allocating the money to older invoices first or by manually
selecting which charge to pay.
Part invoice payments can be stored against
individual invoice details, to allow for full cash analysis and the best
possible control of customer’s accounts.

This screen shot shows the part allocation of a received payment to an
invoice and, at the same time, the allocation of part of the payment to another
invoice and a late charge. This information can then be used to track exactly
what a received payment was allocated to, either by referring again to the
customer’s enquiry screens or via a suitable report.
This information is then recorded and forms a
permanent part of the customer’s history.
A user can then select a payment received and obtain
a list of the specific invoices (or invoice items) against which that payment
was allocated; alternatively, the user can select an invoice and list all
payments/parts of payments allocated to it.
This allocation detail is also available for credit notes
(and the invoice/charge to which it was allocated) and for refunds (the
payments received and/or credit notes allocated to it).

Whenever a user chooses to view the details of an invoice, by selecting
it from the appropriate customer’s enquiry screen, the program displays details
of all the allocated payments and credit against it. If a receipt is
subsequently cancelled due to error or bounced due to non-payment of a check,
this information is also recorded and displayed.
