No. 21: Does your software allow
rental rates to be pro rated for a partial month’s rent?
YES.
Rental rates
can be prorated both on move in and vacation.
For example, a customer may require to be billed monthly from the 1st
of the month. However, they start their rental midway through a month and so
need to be charged for the portion of the month remaining.
When entering a contract on Space Manager the user must provide the
information necessary to allow the program to generate on-going invoices
automatically (frequency of invoicing, list of contract items and rates to
charge) and the information to allow the program to generate the initial
invoice. This initial invoice can be for any period and an alternative rate.
Discounts can also be applied either automatically of manually.
Contracts can include multiple unit rentals, hire items and insurance.
Items can be added to a contract or vacated at any time. When all items are
vacated from a contract, the contract is terminated, but remains as history on
the customer’s account.

This screen
shot shows the creation of a new contract for a customer. Space Manager allows
for the ongoing contract rate to be entered and for the initial invoice to be
defined separately. This initial invoice can include ‘one-off’ or ongoing
discounts, an amended rate and can cover any period. In this example the
initial invoice covers the remainder of the current month and a 30% discount,
calculating the appropriate rates automatically.
The vacation procedure is also fully user configurable to allow for
rental refunds to the day, week, month etc.
The vacation procedure will automatically issue the correct credit for
an over-charge or a further invoice for an under-charge. This credit/charge
period can automatically account for additional requirements such as
rent-rounding and notice requirements.


This screen
shot shows the vacation of a unit from a contract. An authorized user has the
ability change the default vacation conditions for this item by changing the
required vacation notice and/or rent rounding. The program will then calculate
the appropriate charge or rebate for the customer, displaying a detailed
analysis of how it arrived at its calculations.
